Batch-Wise Pricing & Expiry Management for Pharmacies

errorThe Problem

The client's existing pharmacy management system was clunky, hard to navigate, and critically lacked the ability to track batch-specific pricing. When the same medicine arrived from a supplier in a new batch with a different price or expiry date, the old system grouped them together, causing pricing errors at checkout. Additionally, the lack of an automated expiry warning system meant the pharmacy was frequently forced to throw away expired stock instead of returning it to suppliers before the cutoff window.

buildThe Solution

I engineered an advanced iteration of my Inventory CRM specifically adapted to pharmaceutical constraints:

  • Multi-Batch Architecture: The database was structured to support multiple batches per item, each with its individual cost price, retail price, and expiry date.
  • Automated Expiry Triggers: A live dashboard component that automatically flagged inventory approaching expiry 30, 60, and 90 days out.
  • Supplier Ledger: A tracking system for pending supplier payments and a workflow for processing soon-to-expire returns.
  • Financial Analytics: Live reporting on daily sales, profit margins, and overhead expenses.

The client saved hours of manual ledger reconciliation work every week. More importantly, the proactive expiry management system allowed them to return stock to suppliers in time, directly recovering thousands in revenue that would have previously been lost to expired drugs. They achieved full financial visibility in a single, fast portal.
