Tracking Inventory and School Referral Commissions
errorThe Problem
The client, a large local bookshop, struggled with two major operational bottlenecks. Firstly, tracking thousands of low-margin inventory items (books, stationery, uniforms) manually meant frequent stockouts and miscounts. Secondly, the shop had referral partnerships with local schools where the school would earn a commission for uniform or syllabus sales routed to the shop. Tracking these referral-based payments owed between the shop and multiple partner schools was a chaotic, entirely paper-based process that led to disputes and delayed reconciliations.
buildThe Solution
I built a customized version of the Inventory Management System tailored directly to these specific retail workflows:
- Real-time Stock Ledger: A highly responsive POS interface that instantly updates warehouse and storefront stock upon every sale.
- Referral Commission Engine: A specialized module where a sale could be linked to a specific school. The system automatically calculated the agreed commission percentage and maintained a running ledger of the balance owed to each school.
- Reconciliation Dashboard: A clean view to generate payment reports for each partner school at the end of the month.

The shop owner gained immediate, clear visibility into exactly what stock was available and exactly what financial balances were owed in both directions. The automated commission tracking completely eliminated end-of-month calculation disputes with partner schools.
